As a Receptionist / Administrative Assistant, you will be the first point of contact for guests, visitors, and partners, representing ASEM’s professional image and hospitality. You will oversee front desk operations, support administrative tasks, and coordinate visits for universities, industry partners, and delegations. We are seeking a friendly, organized, and service-oriented individual who enjoys interacting with people, communicates confidently across multiple languages, and takes pride in providing an excellent visitor experience.
Front Desk & Administration Welcome and attend to guests, visitors, and partners professionally and courteously. Manage incoming calls, emails, and correspondence promptly. Maintain an organized and tidy reception and meeting areas. Prepare letters, memos, and official documents as required. Monitor and manage office supplies, ensuring sufficient stock levels. Assist with the preparation and distribution of welcome kits. Arrange flight bookings, transportation, and travel logistics for staff or guests. Prepare and serve refreshments during meetings and official visits. Support meeting room setup, coordination, and other administrative tasks. Guest Relations & Hospitality Conduct guided tours of ASEM facilities for visiting universities, industry partners, and delegations. Present ASEM’s profile, programs, and initiatives confidently to local and international guests. Coordinate and host university visits, industrial visits, and delegation tours, ensuring a seamless experience. Liaise with internal departments to organize visitor programs, including event materials and welcome presentations. Uphold ASEM’s image as a leading training and innovation institution through professional communication and hospitality.
Minimum SPM / Diploma in Office Management, Business Administration, Hospitality, or related field. 1–2 years of experience in administrative or front desk roles (fresh graduates are encouraged to apply). Excellent communication and interpersonal skills. Fluent in English and Malay; proficiency in Chinese or Tamil is an advantage. Well-presented, approachable, and able to communicate confidently with guests. Proficient in Microsoft Office (Word, Excel, PowerPoint) and email correspondence. Responsible, organized, and able to multitask effectively. A proactive team player with a positive, service-oriented attitude.
